Treforest Hall of Residence | Arrival Details

We know that arriving at your new accommodation can be daunting so here are a number of useful resources to help you. You can also read our top tips and our list of things to bring.


Move in times and dates (September 2017)

Students can move in to halls on the Trefforest campus on the dates and times below


  • Your halls contract will start on Saturday 16th September 2017 (unless you’ve made special arrangements for an earlier start date). However, due to the congested nature of the Campus and hundreds of students arriving into Halls, it is very important that you adhere to the allocated arrival times.Matthew Kiernan moving in
  • On arrival you will be allocated a 30 minute time slot to unpack your car, then you will be required to remove your car off campus (into the student car park). Student Ambassadors will help you unpack your car as parking spaces near the halls can only be used for unloading. Parking off campus will be provided free of charge.
  • You will not be permitted to bring your car back onto the campus.
  • If you wish to visit the local supermarket after unloading our car, you can park in the lower car park and a mini-bus will be available to transport you back to the halls of residence.
  • Strictly one car per family.
  • No overnight parking in any accommodation areas is permitted by students or parents.
  • We request that all new students comply with the times above. If you are unable to arrive at the pre-allocated times you must inform Accommodation Services immediately to see if you can be accommodated at another time. 
  • Please note: This will only be granted in exceptional circumstances*. Failure to adhere to this may mean you will be turned away if you arrive outside your nominated slots. If you wish to request an alternative time slot please email Nick Hennessy – Head of Accommodation Services

Moving in check-list

When you move in remember to bring with you:

  • A completed Emergency Contact Details Form with passport sized photograph attached
  • Note:   You must ensure you have signed your accommodation contract and paid the required fee before your key can be issued.

Insurance

The University has arranged possessions insurance cover on your behalf through Endsleigh, the No.1 student insurance provider.

It is important to find out exactly what you are covered for as you may find that you require additional cover to protect all your possessions both inside and outside of your room

Information about your room type

The type of room you have been allocated is stated on your contract, along with your room number.

Glamorgan Court room numbers are preceded by the letters GC then the house letter. For example: GCA-11, would translate as Glamorgan Court, House 'A’, Flat 1, Room 1.

AccommodationMountain Halls are slightly different. Each hall has its own name and its own code as follows:

  • Snowdon: SNA
  • Pen y Fan: PFB
  • Sugarloaf: SLC
  • Garth: GTD
  • Caerphilly: CPE and CPF

So for example, PFB-111 would be Pen Y Fan, Flat 11, Room 1. 

Studio flats are located in Caerphilly Hall and the flat numbers will be preceded by the characters 'CPF’. If you have been allocated a Studio flat the contract is issued in the name of the lead tenant. This means that the lead tenant will take sole responsibility for payment of the rent and terms and conditions of the contract of occupancy on the allocated accommodation. Should you be sharing your flat with another person you will be required to disclose full details of this person to Accommodation Services. 


Residents car parking

The University strongly recommends that you consider alternative travel arrangements to driving wherever possible. We encourage all students to use public transport where possible.

There are a very limited number of spaces available in the residents car parking area in Glamorgan Court and Mountain Halls. A link to the residents parking application form will be included in your Accommodation Confirmation email after you have accepted your contract.  

Because of the limited number of spaces available priority will be given to the following:

  • Nursing Students (required to be on placement and work unsociable hours)
  • Disabled badge holders (guaranteed parking)

 If you have not already applied and wish to do so please visit:  The accommodation application portal and complete the Residents Parking application.   You will need your RMS ID and Password in order to log in, these were emailed to you in order to apply for halls and are also sent out with your halls of residence offer.    

If you have a disability or special circumstances please inform us in writing (independent evidence may be required). We regret that due to the limited numbers of residents parking spaces available we will not be able to offer all applicants a space. 

Parking allocations will be made during the week commencing 4th September 2017 and successful applicants will be notified by email by Friday 8th September 2017. (Unsuccessful applicants will not be sent an email). Successful applicants will be sent a payment link in order to purchase the residents parking permit, the current cost is £180.00 for the year. 

Optional Extras

There are a number of optional items available for you to order for your stay in halls. These include:

  • Single Bedding Pack (single duvet, pillow, duvet cover and pillow case ,fitted sheet) – £25
  • Double Bedding Pack (double duvet, pillow, duvet cover and pillow case, fitted sheet) – £35

Halls of Residence Induction Meetings 

As a condition of your tenancy agreement you are required to attend Halls induction meeting. This meeting will allow us to take the earliest opportunity to welcome you to your Hall and make sure you are provided with invaluable information concerning all aspects of living in University accommodation including the regulations and conditions of occupancy.

Ashgrove Surgery Registration Sessions

Now that you have moved away from home and into USW Halls of residence it would be advisable and important that you register with a new GP surgery in this area (especially if you have regular medication or have known medical conditions such as Asthma, Diabetes, Epilepsy).   Don't wait until you are unwell or need to see a Dr.   At Trefforest we have an on campus health center and visiting GP service.

Please attend one of the registration drop-ins as soon as possible.   To speed up the process please print and complete the health questionnaire before coming and in addition please bring the name and address of your home GP with you.   

Ashgrove surgery will be holding registration drop-in sessions at the Student Hub on the following dates:

  • Tuesday 26th September   9am to 12 noon
  • Wednesday 27th September 1pm to 4pm
  • Thursday 28th September 11am to 2pm
  • Monday 2nd October 10am to 1pm
  • Wednesday 4th October 11am to 2pm

We recommend you register as if you ever need to see a General Practitioner on campus you must be registered with their GP practice.   

Please complete a New Patient Form and Online Account Request Form in advance and bring the forms with you to the drop-in sessions.   

Disabled Students (Personal Emergency Evacuation Plan)

If you have a disability that means you may require assistance or additional measures in order to evacuate a building in an emergency, you will need to complete a Personal Emergency Evacuation Plan form which will help us to formulate a suitable plan.   Once developed, the Plan will be the intended means of escape in the event of an emergency (including fire drills).   

When you have submitted the form we will contact you to discuss your personal circumstances and any additional measures required to allow the emergency evacuation of the building agreed.

Regulations and Conditions of Occupancy

The regulations and conditions of occupancy form part of your accommodation contract. A copy of the Regulations Booklet will be made available to download with your halls offer.
