Enrolment guidance for Partner College staff
Students need an individual University of South Wales ID number to create an IT account. Once activated, the IT account allows them to log into our online enrolment service.
For new students, ID numbers are generated when we receive a data upload file. Once the file has been processed, records will be available to view on our central records system (Quercus). These data files should only include students enrolling on a brand new course.
Returning students will be rolled automatically into their next academic session following the University's publication of results. The latest position will be available to view on our central records system (Quercus).
You can view the latest enrolment status of your students, which also shows their module choices and SLC confirmation status.
Issues with missing records can be investigated by raising a support call.

Which partner colleges do USW confirm the loans to the SLC company?

What triggers the release of the student’s loan to the SLC?
For partner college students only they need to have successfully enrolled online with USW and have an approved student funding application on the SLC HEI portal to trigger the SLC Registration confirmation. This is not automated as it requires the Student Records and Business Support team to download the SLC Registration worklist on a daily basis from the SLC HEI portal and upload it to the University records system. An export file is then generated the following morning to be sent back to the SLC on the portal to trigger the SLC Registration confirmation and releases any maintenance loan or grant that the student may have applied for in to their bank account by the SLC in 3 to 5 working days.
From what date to we start confirming the loans?
We start confirming the SLC Registrations when they become available to us on the SLC Registration worklist, usually 30 calendar days before the course starts. For the September starts, this is normally just after the August bank holiday.
