The Space Management team allocates and maintains records of all University sites, buildings and spaces, each with their unique name and letter (or number) reference, which is used across the University. Building and floor level references are included in room number codes to simplify way finding.
The Space Management team maintains a library of drawings and manuals relating to individual buildings, together with photographs and other information about the estate.

All buildings and spaces are allocated a unique reference number and a register is maintained by the Space Management team through the space management database. The reference numbers are used throughout the University and Estates and Facilities use the numbers for logging repairs and maintenance requests and organising planned preventative maintenance.
The Space Management team maintains a large amount of data against each property for Estates and Facilities and University use, and for reporting to third parties.
The Space Management team holds site plans and general arrangement plans of the buildings in the estate. These drawings are maintained as computer aided design (CAD) drawings and are used as a base for the University’s space database and records of the estate. The drawings are also used to assist faculties and departments when planning accommodation, and designers and contractors working on projects.
The Space Management team is able to provide copies of site and building plans on request.
All planning applications to be submitted by the University in respect of the estate must be approved by the Director of Estates. All planning applications relating to the estate are to be made by the Estates and Facilities Department. Estates and Facilities keeps a copy of planning applications and building regulations submissions made in respect of the estate.
The University has an approved space management policy which is intended to provide guidance to those planning new or reconfigured space, or to assess efficiency in the use of existing space. The document should be seen as a guide only, and not seen as justifying a minimum provision of space.
The Space Management team hold a wide range of data on the University estate, including information on room and building areas and room types if you require any data on the University estate please request this from the Space Management team.
