Welcome to USW! Before the big move there are a few things you need to know about arriving on campus, so it goes as smoothly as possible...

Everything you need to know

 Information on when to arrive on campus and where to pick up your keys can be found below. Your halls contract starts on Saturday 15th September 2018 (unless you’ve made arrangements for an earlier start date).


Arrival time

Your arrival date and times are provided below, It's really important you keep to your allocated arrival time as moving in week is very busy on campus. Please refer to your contract if you are in any doubt about which building you have been assigned to. 

If you can't make your allocated time, please contact Accommodation Services as soon as possible so that we can find an alternative for you.


Parking and unpacking

Once you've arrived you'll be given a 30 minute slot to unpack your car (one car per family). Our brilliant Student Ambassadors will help you unpack your car, move in and answer any questions you might have.

Then you will need to move your car to our student car park (free of charge), to enable the next set of arrivals to park outside accommodation. 

If you want to visit the local supermarkets (Sainsbury's or Tesco Extra), you can park in the student car park and our free mini bus will bring you and your shopping back to the halls of residence.

Remember to:

  • Complete your emergency details and upload your profile photograph on the Accommodation Portal.

  • Ensure you have signed your accommodation contract and paid the required fee - you'll need to make sure you have done this before your key can be issued. 

  • If you need to register with our local GP practice, please complete a New Patient Form and Online Account Request Form and bring details of your GP at home. Our local Ashgrove Surgery will be holding registration sessions on campus in the first few weeks of term.

The type of room you have been allocated is stated on your contract, along with your room number.

Glamorgan Court room numbers are preceded by the letters GC then the house letter. For example: GCA-11, would translate as Glamorgan Court, House 'A’, Flat 1, Room 1.

Mountain Halls are slightly different. Each hall has its own name and its own code as follows:

  • Snowdon: SNA
  • Pen y Fan: PFB
  • Sugarloaf: SLC
  • Garth: GTD
  • Caerphilly: CPE and CPF

So for example, PFB-111 would be Pen Y Fan, Flat 11, Room 1.

Studio flats are located in Caerphilly Hall and the flat numbers will be preceded by the characters 'CPF’. If you have been allocated a studio flat, the contract is issued in the name of the lead tenant. This means that the lead tenant will take sole responsibility for payment of the rent and terms and conditions of the contract of occupancy on the allocated accommodation.

If you're sharing your flat with another person, we'll need their details too. Please get in touch with more information.

As a condition of your tenancy agreement you are required to attend the Halls induction meeting. This meeting allows us to welcome you to Halls and give you key information about living in University accommodation, including the regulations and conditions of occupancy.

The University has arranged possessions insurance cover on your behalf through Endsleigh, the leading student insurance provider.

It is important to find out exactly what you are covered for as you may find that you require additional cover to protect all your possessions both inside and outside of your room. For example, Endsleigh’s student gadget insurance.

The University strongly recommends that, where possible, you consider alternative travel arrangements to driving. We encourage all students to use public transport if possible.

There are a very limited number of spaces available in the residents car parking. The current cost is £180.00 for the year. 

A link to the residents parking application form will be available via the accommodation portal  after you have accepted your contract and pre-payment.  Applications will open from 2nd September onward.  

Priority will be given to:

  • *Nursing students (required to be on placement and work unsociable hours). You must by email Accommodation Services in advance, before 2nd September if you require a permit. 
  • Disabled badge holders (guaranteed parking).

*Note: this is not a guarantee of residents parking.  If you apply late and all the spaces are allocated you will be able to park in the non-residents student car park on Llantwit road which is open 24 hours. 

Apply

If you have not already applied and wish to do so please visit the accommodation application portal and complete the Residents Parking application.  You will need your RMS ID and Password in order to log in, these were emailed to you in order to apply for halls and are also sent out with your halls of residence offer.

If you have a disability or medical condition please inform us in writing (independent evidence may be required).

Parking applications will open  week commencing 2nd September 2019 via a self assignment process and a first come, first served basis. 

If you are a nursing student and will be on placement, please email us in advance (no later than 25th August).  Evidence of your placement will be required.

Residents parking permits cost £180.00 for the year, which is payable on the day of booking. 

We are not able to hold spaces or defer payment.

If you have a disability that means you may require assistance or additional measures in order to evacuate a building in an emergency, please complete a Personal Emergency Evacuation Plan form which will help us to formulate a suitable plan.   Once developed, the Plan will be the intended means of escape in the event of an emergency (including fire drills).

The regulations and conditions of occupancy form part of your accommodation contract. A copy of the Regulations Booklet will be made available to download with your halls offer.

Please check your vaccinations are up to date before coming to University.  It takes two weeks for vaccinations to take effect.  In particular please check whether you have been vaccinated against Meningitis ACWY and MMR.  Here is more information on vaccinations.

If you have signed a 40 or 42 week contract for the 2019/20 academic year, Accommodation Services are delighted to offer an exclusive discount of £50 off either Premier or Gold Membership at the Treforest Sport Centre. 

How do I sign up?

Visit the Treforest Sport Centre reception, complete a membership form, book your induction and away you go!

What if my contract is less than 40 weeks?

If you are only staying with us for one academic term (maximum of 20 weeks) you can still benefit from  a discount of £25 off either Premier or Gold Exchange Student Membership.
